How it works
Four steps. Software does the first two. People do the last two.
Invoices arrive in one mailbox
Your vendors send to one address. PDF and photo attachments are queued, including a photographed receipt. Some receipts that arrive in the body of an email, with no attachment, are queued too.
The engine reads each document
It pulls out the vendor, the date, the amounts and the line items, and proposes the account coding. Known vendors are matched to your vendor list. An unknown vendor is held for a person to decide; the engine never creates one.
A person approves every entry
A controller checks the coding, corrects what needs it, and approves. What is approved is frozen. If anything about the entry changes after approval, the post stops, and it does not post until a person approves it again.
Approved bills post, run by a person
Each bill posts to your accounting system with its source document attached. If an attachment ever fails, the bill is flagged so it can be added. A person runs the posting step; nothing posts on a schedule.
And then
A monthly reconciliation summary is in the works. It is not part of the service yet, and this page will say so until it is.
